OuttaMind (“OuttaMind,” “we,” “us”) is a tool that helps student organizations manage meetings, tasks, organizational knowledge, and reminders. OuttaMind is currently offered as a beta product to a limited set of organizations. This policy explains what information we collect, how we use it, and the choices you have — with particular attention to text messaging (SMS), since that involves your phone number.
1. Information we collect
We collect information you provide directly to us, including:
- Your name and email address, when you create an account.
- Information about your organization, such as its name, members, titles, and structure.
- Content you or your organization add to OuttaMind, including tasks, meeting notes, uploaded documents, and connected Google Docs or Sheets.
- Your mobile phone number, but only if you choose to provide it.
2. Your phone number and SMS consent
Providing your mobile phone number to OuttaMind does not, by itself, sign you up for text messages. OuttaMind only sends you SMS text reminders and follow-ups if you separately and explicitly opt in to SMS using the dedicated consent checkbox in your account settings. You may add a phone number without opting in to texting, and you may opt out of texting at any time without removing your phone number.
If you opt in, OuttaMind will use your phone number only to send you operational messages related to your organization — for example, a check-in about a task you own, or a reminder about a deadline. Message frequency varies depending on your organization's activity, tasks, deadlines, and follow-ups. Message and data rates may apply. Reply STOP at any time to opt out of text messages, or reply HELP for help.
We do not sell, rent, trade, or share your mobile phone number or your SMS consent status with third parties for marketing or promotional purposes, under any circumstances. Your phone number is used solely to operate OuttaMind's reminder and follow-up features for your own organization.
3. How we use information
We use the information we collect to:
- Provide, operate, and maintain OuttaMind's features.
- Let your organization's Owners and Admins send you task reminders and follow-ups (by text, only with your consent).
- Read and organize documents and Google sources your organization connects, so OuttaMind can help surface relevant information.
- Maintain the security and integrity of the service.
- Respond to your questions and support requests.
4. Who we share information with
We do not sell your personal information. We share information only with service providers who help us operate OuttaMind, and only as necessary for them to perform that function — for example, hosting and infrastructure, our database, authentication, and SMS delivery providers. These providers are contractually restricted from using your information for anything other than providing their service to us. We do not share phone numbers or SMS opt-in status with any third party for their own marketing purposes.
We may also disclose information if required by law, or to protect the rights, property, or safety of OuttaMind, our users, or others.
5. How we store and protect data
Your data is stored in a managed database with access controls that restrict each organization's data to that organization's own members. Sensitive values, such as connected Google account tokens, are encrypted at rest. Administrative access to production systems is limited, and we work to apply reasonable technical and organizational safeguards appropriate to a beta product. No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security.
6. Your choices
- You can update or remove your phone number at any time from your account settings.
- You can opt in or out of SMS reminders at any time from your account settings, or by replying STOP to any OuttaMind text message.
- You can ask us to delete your account and associated personal data by contacting us using the information below.
7. Beta product
OuttaMind is in active beta development. Features, and this policy, may change as the product evolves. We will update the “Last updated” date above when this policy changes.
